Task/Problem Overview
In Savance Enterprise, there are a few ways to add a comment to a quote or order. The same also applies to request for quotes, purchase orders, return requests, return material authorizations, vendor returns, and return to vendors.
Printed vs. Internal Comment
In the header of a quote, order, RFQ, PO, RMA, and RTV you have two types of comments. It is important to understand the differences between the two.
- **Printed Comment** - The printed comment can be added to the quote and order templates. It is typically meant to be seen by the customer.
- Internal Comment - The internal comment is not intended to be added to the quote and order templates, even though it can be added to the template if so desired. It is intended to be printed on pick tickets. It is not typically meant to be seen by the customer and is intended for internal use only.
Saved User Comments
If you double-click the Printed Comment text box, then a window will pop up. Here, you are able to save comments that you frequently use so that you can use them on other quotes. Simply double-click a saved comment to transfer it to the quote.
To add a new saved comment, hit the add button and type it in. Hit the OK button when you are finished. You will see your saved comment in the window. Notice that there will not be an asterisk next to the comment. This means that the comment is specific to your username. Other Savance Enterprise users will not have access to use this comment on their quotes.
Global User Comments
Global (shared) comments can be defined in the Savance Enterprise Administration screen. Only users with the appropriate security rights will be able to access this section. Go to Admin > Administrator > Comments tab, select ‘Add’, and type a note. Choose the type of comment either globally accessible to all users or choose for a specific user.
Now when you double-click on the Printed Comment text box within the header you will now see a list of your comments and global comments to choose from.
If you want either global or user-specific comments to be printed on the last line of the quote instead of in the header you can set that preference within your General Settings.
Quote Line Comments
There is another way you can add comments to a quote. Simply type in the description field on the spreadsheet. The comment will appear as a line item on a quote. This is useful if you would like to add comments that specifically pertain to a part.
